What you can do
Keep membership expiry visible
Store membership numbers and expiry dates alongside contact details. Expired memberships are highlighted, helping volunteers see which records need attention.
Start with your existing spreadsheet
Import Excel .xlsx or CSV files instead of entering the whole list again. Records recognised by membership number or phone are updated, preserving already populated fields.
Work offline and transfer files deliberately
The free, open-source app keeps records on your device. Export a portable .rubrica backup and import it on another device when needed. This is manual file transfer, not automatic cloud synchronisation.
Renew cards in one tap
Filter members in good standing, expired or without an expiry date, then add or renew a card from the member record. The expiry rule is configurable: year end, 12 months or a fixed date.
Keep a members book and a volunteers register
Record admissions, terminations and corrections with their history: nothing is deleted. Export the book by year as a PDF for archiving, with a SHA-256 fingerprint, and store the closing file signed by your organisation. It is a support tool and does not replace professional advice.

Is there a free app to manage members of a small association or senior centre?
Yes. Rubrica Associati is a free member directory for contact details, membership numbers and expiry dates. It works offline without an account. It is a directory, not a shared online membership or accounting service.
Can I import an association's member list from Excel?
Yes. Import an Excel .xlsx or CSV file with column headings for names, phones and membership details. Existing records can be recognised by membership number or phone. Keep phone and membership numbers as text in Excel to preserve leading zeros.
How do I move the member directory to another volunteer's device?
Export a .rubrica backup, transfer it to the authorised recipient and import it on the other device. Changes are not synchronised automatically. Backup files contain readable, unencrypted personal data, so share them only with authorised people and keep a protected copy.
Can I keep a members book with it?
Yes. The app keeps an append-only members book with history and PDF export, plus a volunteers register. It is a support tool: whether and how your organisation must keep these books, and how to sign them validly, should be confirmed with a qualified adviser. The app cannot sign on your behalf.
